What changes in the input box
The roadmap entry describes it like this: when users insert content in a prompt using 'Add Work Content' under the Plus menu, the content will only appear as a pill in the Input Box UI and will not be repeated as part of the user's prompt. Microsoft says the goal is that this helps to simplify the Input Box and reserve it for prompt creation.
The matching Message Center notice, MC1230892, adds detail. Entity names (such as document titles, people names, or other referenced objects) will no longer be inserted as text within the input box, making it easier for users to craft clean prompts without needing to manually delete entity labels.
Here's how it works in practice:
- Before: Adding a document gave you a pill and the document's name typed into your prompt. If you didn't want the name there, you deleted it by hand.
- After: The entity pill will appear in context, but the entity name will no longer be inserted as text in the chat input box.
This only changes what you see in the input box. None of Microsoft's notices say anything about changes to what Copilot can access, how it uses referenced content in its answers, or how permissions work, so don't read any of that into it.
Summary: The duplicate text goes away and the pill stays. Your prompt contains only what you type.
How to add work content (and why the button label may look different)
Microsoft's own help pages don't agree on what the button is called, which is worth knowing if you write internal guides. In Microsoft Support's page "How to add content and agents to Copilot Chat," you sign in, then in the Message Copilot compose box, select Add plus sign icon Add content and agents to open the tools menu. In the newer "Add content to Microsoft Copilot Chat prompts" page, the same plus button is labeled Add and manage sources.
Here are the steps both pages agree on:
- Go to Copilot Chat and sign in with your Microsoft 365 account.
- Select the plus (+) button in the Message Copilot compose box. Depending on your build, it may be labeled "Add content and agents" or "Add and manage sources."
- Choose Add work content. The older page says this opens the Context IQ menu, and the newer one says it opens the work sources selection menu to find and select work content.
- Pick your file, person or other item. Once your tenant has the change, you'll see only a pill, with no name added to your prompt text.
- Type your prompt as normal.
The same menu also has other options, including Upload images and files to open your device's file app and select files to upload to Copilot Chat and Attach cloud files to open the OneDrive file picker and select files located in your OneDrive. Roadmap 552592 only covers the Add Work Content path.
What success looks like: You add a document and the input box shows a pill with an empty text area, or whatever you had already typed. If the document's name still appears as text, your tenant probably hasn't received the change yet.
Who gets it
The notice says the change reaches all users with access to Microsoft 365 Copilot and Copilot Chat in commercial (non-government) clouds. Licensed and unlicensed users are both included: this feature is available to both users with a Microsoft 365 Copilot license (Microsoft 365 Copilot users) and users without a Microsoft 365 Copilot license (Copilot Chat users), but the experience varies. Microsoft doesn't say how the experience differs.
The roadmap lists Desktop and Web as platforms and Worldwide (Standard Multi-Tenant) as the cloud. Government cloud tenants (GCC, GCC High, DoD) shouldn't expect it under this notice.
The timeline kept slipping
The most useful lesson here is how far a "default, no action required" UI change can drift. Copies of MC1230892 kept by third-party archives and admin blogs show the dates moving several times:

The roadmap entry itself had a bump along the way. An update dated April 22, 2026 said Microsoft was moving the item back to In Development and would relaunch it after more work. The roadmap now shows the item as Launched with a May 2026 general availability date. That date is now behind the Message Center's own August schedule, so read the roadmap date as an estimate rather than a record of what happened. Microsoft's roadmap says outright that its dates are estimates and subject to change.
According to the Merill archive, MC1230892 expired on September 28, 2026. An expired notice tells you the planned window has passed. It doesn't prove every eligible tenant got the change. If a user says they still see the old behavior, don't assume they're confused.
Summary: The schedule moved from February to May to July to August. The latest plan was mid-to-late August 2026. Check in your own tenant instead of trusting the roadmap's month.
What admins need to do (very little)
Microsoft calls this hands-off:
- No admin controls are changing.
- This update is enabled by default for all tenants.
- No action is required.
- The notice lists no compliance considerations.
The optional steps are informing helpdesk or training teams about the change and updating internal documentation that references entity insertion behavior in Copilot or Copilot Chat.
A practical checklist:
- Find old screenshots. Any adoption guide or training deck showing a document name typed next to its pill is now out of date.
- Rewrite "delete the label" instructions. Some prompt-writing tips told users to clear the auto-inserted name before typing. That step no longer applies once the change reaches your tenant.
- Note both menu labels. Mention "Add content and agents" and "Add and manage sources" in your docs so users don't get stuck when the label differs from your screenshot.
- Prepare the helpdesk. If a user asks whether Copilot still "sees" the file now that its name isn't in the text, the pill is the reference. Microsoft describes this as a display change, with nothing said about grounding.
Does it matter?
It's a small UI tweak, but it fixes a real annoyance. When the name was inserted automatically, prompts could end up like "Summarize Q3-Budget-Final-v7.xlsx Q3-Budget-Final-v7.xlsx." Users also had to work around text they never typed. Making the pill the only reference matches how most modern chat composers handle attachments.
The other side is that it took about six months to ship a change that removes some text. Microsoft hasn't explained the delays, and it would be speculation to guess. What it does show admins is that a Message Center date is Microsoft's intention, not a promise. With Copilot's interface changing as fast as it has in 2026, internal Copilot guides will need regular review.
Bottom line: For commercial-cloud users of Microsoft 365 Copilot and Copilot Chat on desktop and web, items added with Add Work Content now appear only as pills, so the prompt box holds just what you type. There's nothing to configure. Update your training materials and verify the behavior in your own tenant, since the published dates moved several times.
