What Copilot Notebooks is
Microsoft describes Copilot Notebooks as a project- or topic-based workspace that brings your Microsoft 365 work context into one workspace where you can collect references, ask questions grounded in your project context, uncover key insights across your work, and turn those insights into shareable outputs.
The support documentation sets one limit that matters for everything below. Copilot uses only the sites, folders and files you add as references and have permission to open. It does not pull in other company content unless you add those locations to the notebook. That reference list is what Copilot works from, so what you put in it largely decides the quality of what you get out.
Microsoft's headline summary says the update covers delegating simple work to Copilot, editing Word, Excel, PowerPoint files directly with the full power of Office, creating interactive reports, and more.

The post's own wording is slightly inconsistent. The introduction says the update is coming to Frontier in the coming weeks, but later sections say several features are already available in Frontier. "Coming weeks" is Microsoft's wording at publication, not a release date.
In Microsoft's current release model, the modern model uses Frontier, Standard and Deferred. Frontier is pre-GA experimentation. Standard is generally available feature delivery. For admins, "available in Frontier" means preview tenants only. It is not a general release.
Summary: two features are generally available, six are in Frontier, and three are still on the way.
Creating and organizing notebooks
Creating a notebook from a prompt (coming)
You will be able to describe your goal and have Copilot build the notebook. Microsoft's example is getting up to speed on a prospective customer's industry and its main players. Copilot gathers relevant references from your work data and the web, so the notebook starts filled in rather than empty. Microsoft says this arrives in the next few weeks.
More reference types (generally available)
You can now add Markdown, plain-text (.txt) and rich-text (.rtf) files alongside the types already supported. That helps anyone whose project material lives in:
- READMEs and Markdown docs
- Log files and plain-text notes
- Meeting transcripts exported as text
Microsoft Support currently lists these supported file types: .docx, .pptx, .xlsx, .pdf, .loop, .page, .txt, .rtf and OneNote pages. It also notes that some features roll out gradually and may not appear for every user yet.
Reference limits depend on your license:
- Microsoft Copilot licensed users can add more than 300 references, but Copilot grounds answers on only the first 300.
- Copilot Chat users can add up to 50 references, and all 50 are used.
- Copilot Chat users are limited to standard sources. Office-watch.com lists those as PDF, Word, Excel, PowerPoint files, Copilot Pages, images, audio and external web links.
The Copilot Chat tier matters more now than it used to. Office-watch.com reported that anyone with an eligible Microsoft 365 business or education plan gets Copilot Chat at no extra cost, and Microsoft began rolling Notebooks out to those users, including the Basic tier, in mid-June 2026. No paid Copilot license required.
Navigation refresh (Frontier)
The Microsoft Copilot app and OneNote get an updated navigation pane where you can group and reorder content and artifacts. This continues earlier redesign work. Microsoft's message center notice MC1187387 described a streamlined interface with a persistent navigation pane and chat on the right for optimized notebook workflows.
Summary: the extra file types are usable today. Prompt-based notebook creation is not.
Working with Copilot inside the notebook
Delegating simple tasks (Frontier)
Copilot can now carry out tasks in the notebook, not just answer questions:
- Manage references and keep the notebook up to date
- Combine information from across the project
- Create or edit a single Word, Excel or PowerPoint file from chat
Choosing the prompt's scope
You can now set each prompt to "Notebook only" or "Work and web." The first restricts Copilot to the notebook's references. The second widens it to your broader work data and the web.
The choice is important. If you're drafting a compliance summary and want answers drawn only from approved documents, choose "Notebook only." "Work and web" is better for open-ended research. It's also the setting where you should check sources more carefully.
Recurring automations (coming)
Recurring tasks, such as a daily morning brief or a weekly status deck, can be set up once and run on a schedule. Microsoft says you will be able to:
- Create custom automations or start from scheduled-task templates
- Set the frequency and the task instructions
- Monitor active and inactive automations
Microsoft's sample prompt asks for a PowerPoint deck every Friday at 4:00 PM that summarizes the week's activity, decisions, risks and follow-ups. Treat it as an example of the intended experience. It does not show that this exact workflow already works, because automations are still listed as coming in the next few weeks.
Model choice (Frontier)
You can pick the model for Notebooks chat, including a "think deeper" option or a specific GPT model. Microsoft says more models are coming but names none and gives no dates.
There's a licensing point for admins. ChangePilot's summary of October Microsoft 365 changes reports that Advanced AI and new frontier models become available through usage-based billing (UBB) using Copilot Credits, while routine model selection stays covered by the standard Copilot license. Microsoft's Notebooks post doesn't say which billing category its model choices fall into, so don't assume either way. Check your tenant's Copilot spending policies before staff start picking premium models.
Summary: task delegation and model choice are in preview now. Scheduled automations are not available yet.
Creating and editing artifacts
Office editing inside the notebook (Frontier)
Word, Excel and PowerPoint files can be viewed inline and edited directly on the notebook canvas. You can also ask Copilot to add content, such as an intro paragraph, bullet points or a chart, or to change fonts, colors and layouts. Collaborators can be invited to work on the same file with Copilot.
This fits a larger Frontier rollout. According to ChangePilot's summary of message center item MC1479277, Home, Office-in-Copilot, Notebooks, Managed Runtime and Work IQ: rolling out to Frontier from late September 2026.
Interactive reports and PDFs (Frontier)
- Interactive reports: visual reports covering data trends, monthly updates and similar material, which teams can create, edit live and work on together with Copilot.
- PDFs: generated from notebook content through chat, for example a one-page summary to send to leadership.
Microsoft confirms that the power of Office, interactive reports, and PDF files are currently available in Frontier, with new audio overview updates coming in the next few weeks. The post doesn't cover report file formats, export options or admin controls for interactive reports. Those questions remain open.
Audio overview updates (coming)
Audio overviews will draw on more types of notebook references:
- Outlook emails
- Teams meetings and chats
- OneNote and Loop pages
- Plain-text (.txt) files
New formats include "Critique and Debate." Longer overviews will be split into topic-based episodes. Audio files can be saved to OneDrive and keep their sensitivity labels, which matters to anyone running Purview. A summary of a confidential meeting should stay labeled confidential when it becomes an audio file.
Suggested artifacts (generally available)
Copilot can also suggest artifacts for your project, proactively recommending relevant Word, Excel, or PowerPoint files based on WorkIQ and your notebook content, then lets you quickly generate them. Suggested artifacts are generally available. This is separate from the Frontier editing, report and PDF features above, so don't treat them as the same rollout.
Summary: most of the new document features are preview-only for now. Suggested artifacts are the exception.
Caveats before you rely on it
- Outputs may not use every reference. Microsoft's FAQ says Copilot may pick a subset of references when generating an artifact, so the result might not use or cite every attached file. A nicely formatted report that skipped your most important spreadsheet is still incomplete.
- Check the facts. Microsoft's own documentation warns that answers may be inaccurate and tells users to double-check before acting on them.
- Sharing gives access to files too. Sharing a notebook invites recipients to the linked files inside it, if you have permission to share those files. Office-watch.com also notes there is still no read-only option: Anyone you invite gets full editing access.
- No admin switch is mentioned. In earlier Notebooks waves, Microsoft enabled features by default. MC1254552, for example, stated that features are enabled by default with no admin action required. The October post doesn't describe admin controls for the new features, so assume nothing about opt-in controls until a message center notice says otherwise.
Practical steps for admins and users
- Find out which channel your tenant is on. If you're not in Frontier, today you get only the extra reference types and suggested artifacts.
- Look out for message center notices for the "coming weeks" features: prompt-based notebook creation, automations and audio overview changes.
- Review your Copilot billing policies before model choice and premium models become widely used.
- Brief your helpdesk on the prompt-scope setting and the no-read-only sharing limit. Those are the likely sources of user questions.
- Treat generated reports and decks as drafts and verify their citations before they reach decision-makers.
The bigger picture
Over 2026, Notebooks has moved from collecting and querying references toward producing finished work: editing Office files, building reports and running scheduled automations. Whether that pays off depends on reliability. A Friday status deck only saves time if nobody has to check every slide.
For now, the useful version of this update is the part that's generally available: the extra file types and suggested artifacts. The rest is still in preview or not yet released.
