Microsoft Teams now has a single option for removing what a meeting leaves behind. Meeting organizers can open a meeting's recap page and delete the recording, transcript, AI summary and notes in one action. Shared files stay where they are. The control is permanent, it deletes everything it covers at once, and it doesn't touch every AI-generated item in the recap. Organizers and IT admins should read the details before anyone uses it.

Microsoft 365 roadmap entry 557170, "Microsoft Teams: Delete meeting generated content in recap," says organizers can delete meeting-generated content, including the recording, transcript, AI summary and notes, using a new delete button on the recap page. Shared files from the meeting are not deleted. The entry is marked Launched, with general availability listed for May 2026.

The companion Message Center post, MC1289725, describes the user-facing change: a new Delete recap content option will appear in the More (...) menu on the meeting recap page. For admins, the important line is that the feature is enabled by default and does not require admin configuration. If your organization uses meeting recap, organizers already have this option.

GCC High had its own schedule. According to the M365 Admin tracker's copy of the notice, General Availability (GCCH) would begin rolling out in late June 2026 and was expected to complete by late June 2026. The schedule also changed during development. When TechRadar first covered the roadmap item, it reported an expected release date of April 2026. That date later moved to May.

Summary: The feature is live, on by default, available on desktop, and covers commercial, GCC and GCC High tenants.

How to delete recap content​

Microsoft's "What's new in Microsoft Teams" page listed the feature under May 2026 with the description "Delete a meeting recording, summary, and notes in one place." Microsoft Support documents the steps:

  1. Open the meeting recap, either from View recap on the meeting thumbnail or the Recap tab in the meeting chat.
  2. On the recap page, select More options (the "…" menu).
  3. Select Delete recap content.
  4. Read the confirmation dialog and confirm.

Super Simple 365 reports that the confirmation dialog reminds you what will be permanently deleted. Read that list before you click.

Who can use it: The roadmap entry names meeting organizers. Microsoft Support's recap documentation says organizers and co-organizers can delete a recap and its contents. Attendees cannot.

What success looks like: The recording, transcript, AI summary and notes no longer appear in the recap. Files shared during the meeting are still available in their original storage locations.

What gets deleted and what stays​

The deletion list is narrower than the phrase "meeting generated content" suggests. Based on MC1289725:

Permanently deleted:

  • Recordings
  • Transcripts
  • AI summary
  • Notes

Not deleted:

  • Shared files, which remain accessible in their original storage locations
  • Custom summaries and audio recaps. Microsoft says these will not be deleted with Delete recap content in this release.

Super Simple 365 says custom summaries and audio recaps may be included in a later release of this feature. No date has been given.

Microsoft Support adds two conditions. Some content, such as Loop notes, is only included for supported meeting types. Deleting it may also depend on the current owner's permissions. If someone else now owns a Loop component, the delete action may not remove it.

Summary: The action removes four kinds of content. Shared files, custom summaries and audio recaps stay. Notes depend on meeting type and ownership.

The catch: it deletes everything at once​

This is the most important point. Microsoft Support says selective deletion isn't currently available, and deleting a recap permanently deletes all of its contents. It can't be undone. MC1289725 also says deleted content cannot be restored.

That creates an easy mistake. Say the AI summary attributes a comment to the wrong person and an organizer wants it gone. Delete recap content won't remove only the summary. It also deletes the recording and transcript. The independent guide publisher Synco Audio makes the same point: the action permanently removes supported recap content, including recordings and transcripts, rather than deleting only an AI summary.

Before you delete, ask:

  • Does anyone still need the recording, such as people who missed the meeting or new staff who use it for training?
  • Should the transcript be kept as a record of decisions?
  • Do the AI notes or tasks need to be copied somewhere else first?

If the answer to any of these is yes, save that content first or use a more targeted method.

Recap deletion versus transcript-only deletion​

Teams already has a separate way to delete only the transcript. Microsoft Support documents it this way:

  1. Open the past meeting chat in Teams.
  2. Select the Recap tab.
  3. Select Transcript.
  4. If there are transcripts in multiple languages, choose the one to delete from the language dropdown.
  5. Select Delete.

Where you delete it matters. Microsoft says deleting a transcript in the Teams desktop app removes both copies, in OneDrive and Exchange Online. Deleting it from the video player page's settings removes only the OneDrive copy. Microsoft also warns that if you delete a transcript before AI notes are generated, those notes won't be available. Generate the AI notes first if you need them.

These two controls should not be treated as the same thing. Microsoft has documented where transcript deletion removes copies. It has not published an item-by-item map showing which storage locations the new recap-wide action clears.

Why admins should care​

Recap content is stored in more than one place. In its intelligent recap documentation, Microsoft says that for meetings that have both recording and transcript enabled, a copy of the transcript is stored in the meeting organizer's Exchange Online account as well as a copy stored in OneDrive along with the recording. Microsoft Learn also says AI-generated notes and tasks are stored in an Exchange folder in participants' mailboxes. All the features listed in that documentation follow the meeting recording retention policy.

So what happens to attendees' mailbox copies, or to content covered by a Purview retention policy, when an organizer clicks delete? Microsoft hasn't answered that directly. MC1289725's advice to admins is to inform users about this new capability, update internal documentation and helpdesk guidance, and review meeting governance and retention guidance. Until Microsoft publishes more detail, compliance teams should test it in their own tenant and not assume the delete button overrides retention holds.

A reasonable rollout checklist (my recommendation, based on general practice rather than Microsoft guidance):

  • Helpdesk scripts: Tell support staff the action can't be undone and that Microsoft says deleted content cannot be restored.
  • User guidance: Explain to organizers that it deletes everything it covers at once, and point them to transcript-only deletion when they only need to remove the transcript.
  • Governance review: Check how recap deletion interacts with your retention and eDiscovery policies before a legal or HR matter raises the question.
  • Records culture: Decide which meetings must keep recordings, such as board meetings or regulated discussions, and tell organizers.

Analysis​

Taken together, the documentation and Message Center notices support a simple conclusion. Organizers have needed an easy way to clean up AI-generated meeting content, and Microsoft has delivered one. Previously, deleting a recording, transcript and notes meant going to several different places. Now it takes one menu item.

TechRadar framed the feature as a way to make embarrassing meeting moments disappear, describing it as a new feature which allows users to quickly delete content generated in a meeting. The bigger effect is on data management. Organizers now have more say over AI-generated records of their meetings, which helps privacy but could make record-keeping harder in organizations that need to keep meeting records. And because the feature is on by default with no admin setting, IT may not be the first to find out.

Microsoft has said custom summaries and audio recaps may be added later. Selective deletion and clearer documentation of retention behavior would also help. For now, this is a useful, permanent delete control. Organizers should check what they need to keep before using it.
