You can make the Downloads folder easier to scan without moving or renaming anything: switch File Explorer to Details view, choose a field such as Date modified, Type, Size, or Authors for Group by, then set a separate Sort by order within each group. These controls are available in Windows 11 and Windows 10. Windows 10’s final general release was version 22H2 and reached end of support on October 14, 2025, but the File Explorer procedure below still applies to that release. No administrator account, restart, or third-party app is required.

Windows 11 File Explorer shows the Downloads folder, grouped into Today, PDF files, and Large files. Understand what grouping, sorting, and columns do

These three controls work together but solve different problems:

  • Group by creates visible section headings in the file pane. For example, grouping by Date modified can create sections such as Today, Yesterday, Earlier this week, or Older.
  • Sort by determines the order of items inside each group. For example, group by Type and sort by Date modified so the newest PDF, image, installer, and archive files appear first in their respective sections.
  • Columns show the file details that make the view useful. In Details view, common columns include Name, Date modified, Type, and Size. Some files may also expose metadata columns such as Authors.

Grouping changes only the way File Explorer displays the folder. It does not create new folders, move files, change filenames, or alter the downloads themselves.

Prepare the Downloads folder for a clearer view

  1. Press Windows key + E to open File Explorer.
  2. Select Downloads in the left navigation pane.
If Downloads is not visible, select This PC, then open Downloads.
  3. Check that you are looking at the actual Downloads folder rather than a search-results page.
The address bar should identify Downloads. A search-results view can use different temporary sorting and grouping settings.
  4. Choose a layout that matches the task.
    • Use Details when you want to compare dates, types, sizes, and other file properties in columns.
    • Use List, Tiles, or an icon layout when you mainly want to browse visually.
For regular download cleanup, Details is usually the most useful choice because it exposes the information needed to sort and group accurately.

Switch to Details view in Windows 11

  1. With Downloads open, select View on the File Explorer command bar.
  2. Select Details.

You should now see a header row above the file list, normally including columns such as Name, Date modified, Type, and Size.

Switch to Details view in Windows 10

  1. With Downloads open, select the View tab on the ribbon.
  2. In the Layout section, select Details.

The file list should change to rows with column headings.

Add the columns you need

Start with a practical set of columns. For a Downloads folder, use:

  • Name — identifies the file.
  • Date modified — usually the best available date for recently downloaded or changed files.
  • Type — separates PDFs, installers, ZIP files, images, documents, and other formats.
  • Size — useful for finding large installers, videos, or duplicate-looking downloads.

Do not assume every file has the same metadata. An Authors column, for example, may be blank for many downloaded installers, images, archives, and PDFs. It is most useful for certain Office documents and other files whose creator information was saved in the file.

Add or remove columns in Windows 11

  1. Confirm that Details view is active.
  2. Right-click any existing column heading, such as Name or Date modified.
  3. Select a listed column to show or hide it.
  4. If the property you need is not listed, select More.
  5. In the details list, select the check box beside a property you want to display, such as Authors.
  6. Clear the check box beside a property you do not need.
  7. Select OK.

To rearrange the visible columns, drag a column heading left or right. For example, place Date modified immediately after Name if recent downloads are your priority.

To resize a column, point to the divider between two column headings until the pointer changes, then drag the divider. Make Name wide enough to distinguish similar downloads without making the other details disappear.

Add or remove columns in Windows 10

  1. Confirm that Details view is active.
  2. Select the View tab.
  3. Select Add columns.
  4. Choose one of the common properties, or select Choose columns for a larger list.
  5. In the details list, select or clear the check boxes for the columns you want.
  6. Use Move Up and Move Down if you want to change their order.
  7. Select OK.

You can also right-click a column heading to show or hide common columns more quickly.

Group Downloads by date, type, size, or author

Choose one grouping method at a time. File Explorer displays one primary grouping arrangement for the current folder view.

Group by date modified to find recent downloads

This is the best starting point when you want to find something you downloaded today or during the past week.

Windows 11

  1. Open Downloads.
  2. Select Sort on the command bar.
  3. Point to or select Group by.
  4. Select Date modified.

File Explorer creates date-based headings in the content pane. The exact heading names depend on the dates of files in your folder.

Windows 10

  1. Open Downloads.
  2. Select the View tab.
  3. Select Group by.
  4. Select Date modified.

Use this view when you remember approximately when you downloaded a file but not its name or format.

Group by type to separate installers, documents, and archives

Grouping by Type is useful after a cleanup session or when Downloads contains a mixture of setup programs, compressed archives, PDFs, images, and documents.

Windows 11

  1. Select Sort on the command bar.
  2. Select Group by.
  3. Select Type.

Windows 10

  1. Select the View tab.
  2. Select Group by.
  3. Select Type.

The headings use the registered file type description. A download may appear under a heading such as an application, compressed folder, PDF file, image file, or Microsoft Word document.

Group by size to identify space-consuming downloads

Use Size when you want to locate large files before deleting or moving them.

  1. Open the grouping menu for your version of Windows:
    • Windows 11: Sort > Group by
    • Windows 10: View > Group by
  2. Select Size.

File Explorer places files into size ranges rather than creating a separate heading for every exact file size. This is useful for quickly spotting large downloads, but use the Size column as well when you need to compare exact values.

Before deleting large files: Verify the file’s name, type, and location. A large download may be a required installer, an offline installer package, a video, or a compressed backup. Grouping makes files easier to find; it does not indicate that a file is safe to remove.

Group by author when file metadata supports it

  1. Add the Authors column first, as described earlier.
  2. Open the grouping menu:
    • Windows 11: Sort > Group by
    • Windows 10: View > Group by
  3. Select Authors if it is available.

Expect many downloads to appear in an unspecified or blank-author group. That usually means the file does not contain author metadata; it does not mean the file is damaged.

Set the sort order inside every group

Grouping does not replace sorting. Select a sort field after choosing your groups so that the files inside each section appear in a useful order.

For example:

  • Group by Date modified + Sort by Name: find a recently downloaded file when you remember part of its name.
  • Group by Type + Sort by Date modified, descending: show the newest item first within each format.
  • Group by Size + Sort by Size, descending: see the largest files first within a size category.
  • Group by Authors + Sort by Name: browse documents from the same creator alphabetically.

Sort in Windows 11

  1. Select Sort on the command bar.
  2. Select Name, Date modified, Type, Size, or another available property.
  3. Select Ascending or Descending.

You can also use a column heading in Details view. Select a heading once to sort by that column, then select it again to reverse the direction. An arrow on the heading indicates the active sort direction.

Sort in Windows 10

  1. Select the View tab.
  2. Select Sort by.
  3. Choose the field to sort by.
  4. If needed, return to Sort by and select Ascending or Descending.

In Details view, selecting a column heading is also a quick way to sort and reverse the order.

For date-based download triage, choose Date modified and Descending. The newest files should then appear near the top of each displayed group.

Verify that the Downloads view is working

Use a quick check before relying on the view:

  1. Look for the group headings in the file pane. If you selected Date modified, you should see date-related sections. If you selected Type, you should see format-based sections.
  2. Look for the sort indicator on the active column heading in Details view.
  3. Select a file and verify that its displayed type, modified date, and size make sense for that file.
  4. Close the Downloads folder, reopen it, and check whether the arrangement remains.

The view is successful when you can find a known recent file faster than by scanning one long, unstructured list.

Save the view for similar folders

File Explorer normally remembers view choices for individual folders. You can also apply a configured view to folders that use the same folder template. This can be helpful if Downloads has been treated as a general-items folder and you want similarly configured folders to use the same Details layout.

Important: Applying a view to folders is broader than saving a setting for Downloads alone. It can change the layout, columns, sorting, and grouping used by other folders of the same type. If you only want to organize Downloads, set the view there and stop after verifying it.

Apply the view to folders of the same type in Windows 11

  1. Configure Downloads exactly as you want it: layout, columns, grouping, and sorting.
  2. Select See more (...) on the File Explorer command bar.
  3. Select Options.
  4. Select the View tab.
  5. In the Folder views section, select Apply to Folders.
  6. Confirm the prompt.
  7. Select OK.

Apply the view to folders of the same type in Windows 10

  1. Configure Downloads exactly as you want it.
  2. Select the View tab.
  3. Select Options, then select Change folder and search options.
  4. Select the View tab in Folder Options.
  5. Under Folder views, select Apply to Folders.
  6. Confirm the prompt.
  7. Select OK.

This does not create a universal File Explorer setting for every possible folder. Windows uses different folder templates, so a view applied to one template may not automatically change folders optimized for pictures, music, videos, or documents.

Fix common grouping and sorting problems

The files are still grouped when you only wanted sorting

Turn grouping off, then keep the sort order you want.

  • Windows 11: Select Sort > Group by > None.
  • Windows 10: Select View > Group by > None.

Then choose Sort by > Date modified or another preferred sort field.

The Group by option is missing or the choices are limited

Switch to Details view first. Details view exposes the widest range of useful columns and makes it easier to identify what property is being used.

If a property is not available, add it as a column through the column-heading menu or More in Windows 11, or through View > Add columns in Windows 10. A property must be available for the files and current folder view before it can be useful for grouping.

The Authors group is mostly blank

That is normal for many downloads. File Explorer can only group by metadata stored in a file. Installers, ZIP files, many images, and some PDFs often do not have author information. Use Type or Date modified instead.

The newest downloaded item is not at the top

Check both settings:

  1. Set Group by to Date modified or None, depending on your preference.
  2. Set Sort by to Date modified.
  3. Choose Descending.

Also note that Date modified is a file property, not necessarily a guaranteed record of the web download time. A file can show a different modified date if it was copied, extracted, edited, or replaced after downloading.

A file seems to be in the wrong Type group

The Type group reflects the file extension association registered in Windows. Check the full extension before opening an unfamiliar download:

  1. In Windows 11, select View > Show > File name extensions.
  2. In Windows 10, select the View tab, then select File name extensions.

A filename such as document.pdf.exe is an executable file, not a PDF. Do not open unexpected executable downloads merely because the visible name resembles a document.

The Downloads view keeps changing back

First, reopen Downloads directly and set its layout, grouping, and sorting again. Then close File Explorer and reopen Downloads to test whether Windows retained the view.

If you used Apply to Folders, remember that it affects folders sharing the same template, not every folder on the PC. Avoid registry “fixes” or third-party folder-view utilities for this task; they are unnecessary for ordinary Downloads organization and can overwrite other saved File Explorer preferences.
