BusinessDay has published a 10-tool roundup of AI productivity software for 2026, naming ChatGPT, Microsoft Copilot, Google Gemini, Notion AI, Claude, Perplexity, Canva AI, Cursor, Grammarly and Otter.ai. The list is not ranked, and it reflects a now-familiar split between general-purpose assistants and tools embedded directly in office suites, design apps, developer environments and meeting platforms.
For Windows users, Microsoft Copilot is the most consequential inclusion. Microsoft says its Microsoft 365 Copilot features work across Word, Excel, PowerPoint, Outlook, Teams and other Microsoft 365 services, putting drafting, document summaries, spreadsheet analysis and meeting recaps inside applications many organizations already manage.

The practical advantage of Microsoft 365 Copilot is not necessarily model quality; it is context. Copilot can draw on content available through Microsoft Graph, subject to a user’s existing permissions. That makes it potentially more useful for company documents and mail than copying material into a standalone chatbot, but it also makes permission hygiene an immediate concern.
Microsoft’s documentation is clear that availability varies by plan, licensing, application, region and tenant configuration. The Copilot button in Word or Excel is not proof that every advertised capability is enabled, nor does a Microsoft 365 subscription automatically mean every user has the same access.
ChatGPT and Claude remain strong choices for ad hoc writing, coding, research and document analysis. Perplexity is aimed more squarely at web-grounded research, while Cursor targets developers who want AI embedded in a code editor. Grammarly, Otter and Canva occupy narrower but useful roles around writing, transcription and design.

The list is useful, but not a deployment guide​

BusinessDay’s broad recommendation tracks Stanford’s 2026 AI Index, which reports that organizational AI adoption reached 88% in 2025. That does not make every tool suitable for corporate work. A consumer AI account may have different retention, training, administrative-control and compliance terms from an enterprise offering under the same brand.
For IT departments, the sensible shortlist starts with the tools already covered by existing identity, data-loss prevention, audit and procurement controls. Microsoft 365 Copilot is the obvious first evaluation point for Windows-heavy organizations, while developer teams may separately assess Cursor or ChatGPT-based coding workflows.
Before enabling any AI assistant for work, admins should verify:
  • Which plan and tenant settings govern the feature.
  • What data can be uploaded, indexed or used as grounding material.
  • Whether prompts, files and outputs are retained or used for model improvement.
  • Whether existing SharePoint, OneDrive and Teams permissions expose material too broadly.
The immediate next step is to test one or two approved tools against a limited workflow rather than treating a generic “best tools” list as a rollout plan.
