Prepare for two separate printing tests
Have the following ready:
- Several sheets of plain paper.
- The printer’s exact model number.
- Access to the printer’s control panel and its model-specific manual.
- A short document that should visibly print.
- Administrator assistance if this is a managed workplace printer.
Use the manufacturer’s support page for your exact model, particularly for cartridge handling and maintenance. Do not assume that instructions for another printer from the same brand apply. Microsoft likewise recommends identifying the model before downloading installation software.
The Windows procedures below apply to Windows 10 and Windows 11, with separate Settings paths where necessary. Microsoft states that Windows 10’s ordinary free support ended on October 14, 2025; these troubleshooting instructions do not extend its support lifecycle.
Allow about 20 minutes for the initial diagnosis. Stop after each successful test rather than performing every repair.
1. Print a Windows test page
Use the Windows test page rather than repeatedly submitting the document that failed. This removes that particular application and document from the first test. Microsoft uses this procedure to help distinguish application printing problems from printer or driver problems.
Windows 11
- Open Start > Settings > Bluetooth & devices > Printers & scanners.
- Select the physical printer you are troubleshooting.
- Select Printer properties.
- On the General tab, select Print Test Page.
Windows 10
- Open Start > Settings > Devices > Printers & scanners.
- Select your printer, then select Manage.
- Select Printer properties.
- On the General tab, select Print Test Page.
Keep the resulting sheet and record whether it contains readable content, missing areas, or nothing at all.
No sheet emerging is a different result from a blank sheet emerging. If the printer does nothing, displays an error, or cannot be found, check its power, connection, paper supply, and displayed error before treating the problem as blank output. Microsoft’s connection troubleshooting covers those conditions separately.
2. Print the printer’s own diagnostic page
Next, request a page from the printer’s control panel—not from Windows’ Print Test Page button.
- Load plain paper.
- Consult the model’s manual for its built-in print-quality report, nozzle check, self-test, or configuration page.
- Run that specific test using the documented control-panel menu or button sequence.
- Keep the result beside the Windows test page.
There is no universal button sequence. For example, HP documents a Print Quality Report for the OfficeJet Pro 9010 and 9020 families, while Epson documents nozzle checks for inkjet print-quality diagnosis. Use a report that tests black and the individual colors when available.
Interpret the comparison as a troubleshooting direction, not an absolute diagnosis:
| Test results | Where to investigate next |
|---|---|
| The printer’s own diagnostic page is blank or missing expected patterns | Supplies, cartridge installation, ink delivery, or printer hardware |
| The built-in page is complete, but the Windows test page is blank | Windows printing setup, preferences, or driver |
| Both test pages are complete, but one document is blank | The document, application, or its print settings |
| Color patterns print, but the black pattern is missing | The black printing channel, rather than assuming the whole printer works |
These are diagnostic inferences from the manufacturers’ print-quality checks and Microsoft’s application-versus-printer tests. A successful page only demonstrates the content and printing functions exercised by that particular test.
If the built-in report is defective, complete the supply checks below before spending time reinstalling Windows software.
3. Check ink or toner when the built-in page is blank
For inkjet printers
Before opening the printer: follow its cartridge-replacement instructions. Do not improvise printhead removal or manual cleaning. For this beginner procedure, use only the manufacturer’s documented user-accessible checks and built-in maintenance tools.
- Check ink levels. Use the printer’s display or supported utility. On a tank printer, inspect the tanks as directed by the manufacturer; Epson specifically recommends a visual ink-level check for its ET-2988.
- Check a recently installed cartridge. Follow the model’s installation instructions to confirm that required protective packaging was removed and the cartridge is correctly seated.
- Run the documented nozzle check or print-quality report. Note which patterns or colors are missing.
- Run the built-in printhead-cleaning procedure only if the report indicates a problem.
- Print another diagnostic page and compare it with the first. Follow the model’s instructions about additional cleaning stages and waiting periods.
Cleaning consumes ink. Do not repeatedly run cleaning cycles without checking the result, and do not substitute a more intensive cleaning routine simply because the first cycle failed. HP recommends checking a diagnostic page after cleaning and warns against using cleaning as routine maintenance.
A remaining ink indication is not a substitute for a successful nozzle check. Treat missing patterns as an unresolved printing problem, even if the supply display does not say “empty.”
For laser printers
Use the laser printer’s own blank-page or poor-print-quality procedure, not an inkjet printhead-cleaning routine.
- Check the toner status and any cartridge error on the printer.
- If the problem started after cartridge replacement, recheck installation against the model’s manual.
- Perform only the cleaning or cartridge checks specified for that model.
- Print the built-in report again before returning to Windows troubleshooting.
HP’s LaserJet blank-page guidance calls for checking toner, cleaning, and settings; the appropriate maintenance procedure depends on the printer. Do not buy a drum or other internal component merely because the sheet is blank.
If the printer’s own report remains blank after the documented supply and maintenance checks, stop the driver work and use the hardware escalation path at the end.
4. Check the document and printing preferences
Use this branch when the built-in diagnostic page prints correctly, especially when the Windows test page also succeeds.
- Open the affected document and select File > Print.
- Confirm that the intended physical printer is selected.
- Check the selected pages, paper size, orientation, and layout.
- Print a different file from the same application.
- Try a short document from another application, such as Notepad or Paint.
If another file or application prints correctly, concentrate on the failing file or application rather than immediately replacing the printer driver.
Next, inspect the driver’s job settings. Record the existing choices before changing them, so you can restore them after testing.
- From the application’s print dialog, open the printer’s settings. Depending on the application and driver, the control may be called Preferences, Printer Setup, or Options.
- Make the paper size and paper type match the loaded paper.
- Check the quality and color choices against the manufacturer’s recommendations for the job.
- Print a single page that definitely contains visible content.
- Restore any experimental setting that made no improvement. HP documents these application-level preference controls but notes that the available interface varies.
Do not confuse blank content with extra blank sheets. Epson’s Skip Blank Page option, where available, can suppress pages that are already blank in the document; it does not repair missing ink. Epson also identifies damp paper or multiple-sheet feeding as possible explanations for unexpected blank sheets.
5. Reinstall the correct printer software when Windows output stays blank
Proceed here when the printer’s own report is satisfactory but Windows printing remains defective.
Before removal: save your work, record the printer’s name and preferences, and obtain the correct installation package. Ask IT before changing a shared or managed printer. Removing the printer temporarily removes that Windows printing destination; installation may require permission.
Check compatibility before installing
Microsoft recommends obtaining drivers through Windows Update or the printer manufacturer. For a manufacturer package, use the exact model and the Windows version offered on its official support page—not a third-party driver-download service.
Two cases need special handling:
- Windows on Arm: Microsoft acknowledges that some manufacturer installers cannot add printers on Arm PCs. Check Settings > System > About > Device specifications > System type. Unless the manufacturer provides specific Arm instructions, use Add device in Windows printer settings instead.
- Windows protected print mode: Microsoft states that third-party printer drivers cannot be used while this mode is active. Do not disable it merely to test a blank-page theory. Use the supported modern printing setup or consult IT about compatibility. Enabling the mode can also remove printers using third-party drivers.
Remove the affected printer and run the installer
- Open the appropriate Settings page:
- Windows 11: Settings > Bluetooth & devices > Printers & scanners.
- Windows 10: Settings > Devices > Printers & scanners.
- Select the affected printer.
- Select Remove in Windows 11, or Remove device in Windows 10, and confirm.
- Open the manufacturer’s downloaded installer.
- Follow its model-specific instructions, including when to connect a USB cable or select a network printer.
- Restart Windows if the installer requests it.
- Repeat the Windows test-page procedure.
Do not assume that simply removing the printer entry deletes every installed driver package. This procedure recreates the printer setup and runs the supported installer; it is not an instruction to purge the Windows driver store.
Restore the printer if installation fails
If you removed the printer but the installer did not finish, restore a Windows printing destination:
- Turn on the printer and ensure it is connected.
- Return to Printers & scanners.
- In Windows 11, select Add device, then add the discovered printer.
- In Windows 10, select Add a printer or scanner, choose the printer, and select Add device.
- Print a Windows test page.
For a network printer, Microsoft advises keeping the PC and printer on the same network. If it is not discovered, use the manufacturer’s connection instructions rather than guessing a port or address.
Verify the repair or escalate with the test results
Do not regard an installer finishing successfully as proof of a repair. Use this final check:
- Print the built-in diagnostic page again if you changed supplies or performed maintenance.
- Print a Windows test page.
- Print one content-bearing page from the original document.
- Record which intervention changed the result.
The following outcomes identify the next useful escalation:
- Built-in report still blank: contact the printer manufacturer with the model, supply status, and maintenance already attempted. Keep the diagnostic sheets; HP notes that support may request print samples.
- Built-in report good, Windows output still blank: give IT or manufacturer support both test results and the exact driver package installed. Microsoft recommends manufacturer troubleshooting when a reinstalled printer still fails.
- Only one application or file fails: report that distinction to the application’s support team. Microsoft’s documented next steps focus on application settings, updates, or repair rather than treating every such failure as a printer hardware fault.
- The problem has changed to no output or an unavailable printer: return to connection and installation troubleshooting. That is no longer the same symptom as a printer feeding completely blank pages.
